Work Structure


The work structure is a project plan consisting of stages, tasks, milestones, and stage checklists. This section helps you:

  • Track project progress, including checklists and specific tasks.
  • Review detailed reports for each completed work item.

A Gantt chart for the project is generated based on the queue of tasks and stages in this section.

Work Structure Elements

Stages

Stages represent logically connected parts of a project. Each stage typically concludes with achieving a specific project deliverable.

  • Every task created within a project is linked either to a specific stage (1) or to the project as a whole (2).

Stage Checklist

A stage checklist is a tool to monitor stage progress. It consists of items marked off as completed.

  • Each checklist item has an assigned person responsible, a brief description, and a report.
  • You can include:
    • Project operations not categorized as tasks.
    • Stage deliverables.

You can configure automatic stage completion upon closing all checklist items. This is done in the Portal Settings.

Progress tracking for the checklist is available on the project page, within the work structure, or in the "Projects by workflows" section.
In an individual project, you can add stages, tasks, and checklists via the "Work Structure" tab. In workflow-based projects, only tasks and checklists can be added.

Milestones

A milestone is a key event within a project, marking the completion of a significant deliverable.

Key characteristics that distinguish it:

  • A milestone is a type of task but without an end date or subtasks.
  • The due date of a milestone is always the same as its start date and cannot be modified.
  • A milestone must always be associated with a project. If this association is removed, it becomes a standard task.
  • Tasks can be converted into milestones, and milestones can be converted back into tasks
An exception is if the task has subtasks. In this case, the task cannot be converted into a milestone.

How to create a milestone:

  • From the Work Structure.
  • From a Project Workflow.
  • From the Gantt Chart.
A milestone can be linked to a Project Stage or directly to a Project.

Adding and Managing Stages

To add a stage in an individual project, click "+ Stage" below an existing stage.

From the context menu, you can export the work structure as a Word report.

Hover over a stage to access the following options:

  1. Add a task to the stage.
  2. Add a milestone to the stage.
  3. Add a checklist to the stage.
  4. Reorder stages using drag-and-drop.
  5. Edit stage.
  6. Delete stage.

Hover over a task to drag, delete, or add subtasks to it.

Click the name of any stage, task, milestone, or checklist to view its detailed page.

  • A completed stage is marked with a double blue checkmark (1).
  • The current stage is highlighted with a light-blue arrow (2).

Project Tasks Without Stage Links

Tasks not associated with a specific stage are grouped in a separate "Project Tasks" section.

Checklist Reports

In the checklist page, you can:

  • Edit the report.
  • Attach files.
  • Add comments.
  • View detailed information about the checklist.
Only the project manager or the checklist owner can complete reports. Reports for all checklist items can be exported in Word format.
