Recurring Events


In Flowlu, you can set up recurring events to save time on scheduling repetitive meetings or tasks. Instead of creating the same event over and over, just set how often it should repeat, and Flowlu will handle the rest. 

Creating a Recurring Event

  1. Create a new event by clicking the 'Create' button (1) or by selecting the desired time slot directly in the calendar (2).

  2. To make an event recurring, check the 'Repeat' box in the event creation form. Once selected, the recurrence options will appear next to it.

The recurrence rule lets you set how often and at what intervals events will repeat. You can also specify when the series should end. Click on the recurrence rule to configure it in detail.

Recurrence Rule

  • Frequency: The following recurrence periods are available:
    • Daily
    • Weekly
    • Monthly
    • Yearly

The recurrence interval is specified using a number

For the "Yearly" period, specifying an interval is not available.

For the "Weekly" period, you can select the days of the week on which the event will recur.


  • Ends: The following options are available for configuring the end of a recurring event series:
    • Never - the series of recurring events will never end.
    • Occurrences - the number of events in the series will be equal to the number of repetitions specified.
    • End Date - events will be created up to and including the specified date.

When you save the settings, the series of recurring events will be created.

Converting a Regular Event to a Recurring Event

You can turn a previously created regular event into a recurring one. To do this, edit the event, check the 'Repeat' box in the edit form, and set up the recurrence rule along with any other details. Save your changes, and the regular event will become a series of recurring events.

You can’t change a recurring event back into a regular event once it’s been created.

Modifying Recurring Events

  • Types of Changes: There are two types of modifications for recurring events:
    • Significant changes: These will be displayed in notifications, break the event series, and start a new series. More details on event series are discussed below.
    • Minor changes: These will not be displayed in notifications and will not break the event series.

Significant changes relate to the date, time, recurrence rule, and the "All day" option. Minor changes are all other modifications.

Adding a comment or a time entry to an event instance is also considered a minor change.

  • Editing Options: Changes can be applied in two ways:
    • This event
    • This and following events

If the recurrence rule is changed within an event, the changes can be applied to that and subsequent events. You cannot change the recurrence rule only for the edited event.

  • Exceptions: If changes are applied only to the current event, it becomes an exception in the series. Adding a comment or time entry to an event instance will also make it an exception in the series.

Breaking a Recurring Event Series

You can create a new series from an existing one. To do this, make significant changes to one of the events in the series and apply them to that and subsequent events.

This action will create a break and two series of recurring events.

In this case, two series are formed from one. Series #1 will end where the break occurs, and Series #2 will begin there. All subsequent changes to the series will be applied according to the created breaks and event series.

Deleting Recurring Events

Recurring events are deleted in the standard way:

  1. Go to the detailed page of the recurring event.
  2. Click the three-dot menu in the upper right corner.
  3. Select "Delete."

Confirm the deletion in the pop-up window.

Deleted recurring events cannot be restored from the Recycle Bin. The deletion operation requires manual confirmation.

The following options will be available for deleting a recurring event:

  • This event
  • This and following events
  • All events

All of the above options operate within the recurring event series. The changes will affect only the events within the series.

Notifications

You will receive notifications about participation in a recurring event series in two cases:

  • A new recurring event has been created and you were added as a participant.
  • Significant changes were made to an event in which you are a participant.

The participation status will be set for all recurring events in the series.

You cannot set reminders for recurring events; reminders are available for regular events only.
