Client Portal
With the Client Portal, you can invite external users to Flowlu and provide them with access to certain data using flexible access settings.
Now your clients, contractors and freelancers can log in to the portal and view related tasks, projects, invoices and estimates. Clients will be able to agree on estimates and pay invoices right from the system. You can also embed a knowledge base in the client's portal. An external user account has a chat that allows them to communicate with your team.
Setting up Client Portal
Click your profile picture in the top right corner and select Apps.
In the list of Apps, select Client Portal and click Install.
After installing the application, open a new section "Client Portal" that will appear on the left menu.
Flowlu lets you invite new external users using two different ways — by email or with a shareable link.
Inviting users by email
After clicking on the "Invite User" button, you can specify the emails of your clients in the opened panel. Each line is intended for a separate external user. If an email is already specified in the CRM account card, then it will be displayed automatically in the corresponding field on the right:
To add more employees at a time, click on the "More" button and indicate other emails. For each email, you can specify an external user role right away. Please note that the external user roles should be set up in the External User Roles tab.
This is extremely useful because the external user will be assigned a certain set of permissions in advance. When you fill out all the emails, click "Send" to send email invitations.
All invited members will appear in the Invitations section. After the invitation is sent, your external users will get an email with a link to sign up. You will see them in the External Users section once they sign up.
Inviting a user by sharing a link
You can also invite teammates into your account by sharing an automatically generated link.
Check the option "Create a CRM contact for an external user", select a role (if you have already created roles for external users) and save.
The link for inviting external users will be automatically copied after you save the form.
Then send it to external users in any way you like.
After following the link, they can quickly sign up and join your account if they have never signed up for Flowlu before.
You can always re-create the link by clicking on the "Reset" button. This comes in handy if you've sent the link accidentally to someone and do not want this person to log into your account.
How to manage invitations
The "Invitations" tab displays all invitations sent by email to external users. You can resend an invitation at any time or cancel it (if it has not been accepted yet) by clicking on the corresponding buttons. If you cancel the invitation, the link sent in the email will become inactive.
After the external user accepts the invitation, they will be displayed in the appropriate tab:
Permissions
There are two levels of access rights for Client Portal: administrator and access denied. The access rights can be set in the module settings in the "Marketplace" section.
The Administrator of the Client Portal module can invite external users and configure their access rights.
The employee can view the list of invited external users and the data available to them, but will not be able to edit access rights. If you want the employee to be able to invite external users, then go to "Portal Settings" → "Client Portal" and check the corresponding option.
This allows the employee to invite external users and assign them the appropriate role, but will not be able to edit their assigned access rights.
How to Convert an External User to an Internal
if you need to convert an external user to an internal one, go to the profile of this user and click the Make an internal user button.
